Lecture and conference rooms

There is a variety of rooms/auditoriums for education and conference at the Karolinska University Hospital.

They are booked in different ways depending on how they are managed.

  • The education and conference center’s facilities on floor 3 in BioClinicum are booked and administered by Coor http://www.bokaenkonferens.se/sv-SE/coornks.
  • Smaller group and discussion rooms (4-6 persons) and conference rooms (12-20 persons) on floors 5–10 in BioClinicum are administered by the Karolinska University Hospital’s Conference Service and can be booked via the Karolinska University Hospital’s Outlook, and by using the Evoko screens outside each room. The smaller rooms are booked in the paper calendars that are placed outside of the rooms.

All employees who have their workplace at Karolinska University Hospital (including KI employees) can book rooms at the hospital free of charge if they state their HSA-ID, SLL-email adress or their cost center at the hospital.

Rooms for 4-6 persons (floor 5-10)

BioClinicum has a number of smaller group and discussion rooms for 4 to 6 people. These rooms are a shared resource and are administered by the Conference Service. These rooms are booked in the paper calendars that are placed outside of the rooms.

Equipment in the group and discussion rooms on floors 5–10 at BioClinicum

The group and discussion rooms are equipped with tables and chairs, data sockets with internet and intranet connections, and a wall screen for display­ing computer images. Some rooms also have video conferencing equipment.

Fault reporting for IT equipment/video equipment and other equipment in the rooms

Your point of contact differs, depending on the type of equipment that is defective:

Rooms for 12-20 persons (floor 5-10)

There are conference rooms for between 12 and 20 people on floors 5–10 at BioClinicum. They are administered by the Conference Service and can be booked for use Monday–Friday between 07.00 and 19.00.

Equipment in the facilities on floors 5–10 in BioClinicum

The conference rooms are equipped with chairs and tables and ordinary whiteboards, data sockets with internet and intranet connections, and a large wall-screen for displaying computer images and video conference. All of the technology is controlled via a touch screen with a user-friendly interface. Some of the conference rooms can be blacked out.

Booking the facilities

Rooms can be booked as follows:

  • Conference rooms for 12 to 20 people on floors 5–10 are booked in Karolinska University Hospital’s Outlook. You need to have a eTjänstekort and a SLL computer.
  • These rooms can also be booked via Evoko screens. The screens are located on the wall outside the meeting room and show whether the room is free, or who has booked it and when. The screens can also be used to extend or cancel meetings.

Rooms for 9-310 persons (floor 3)

The education and conference center at the Karolinska University Hospital has a total of 15 lecture halls and conference rooms, associated with informal student facilities for networking. Ten of the facilities are located on floor 3 at BioClinicum. The remaining facilities are located under the Akademiska stråket on floor 3.

Equipment in the facilities in the education and conference center


All lecture halls and conference rooms are equipped with image and sound presentation technology:

  • User-friendly touchscreen for controlling both images and sound
  • Wall-hanging screen (from 36” to 80”)
  • Audio-Video conference equipment (AVC equipment)
  • Large whiteboards in every facility


Booking facilities in the education and conference center

The facilities in the training and conference center can be booked in Coors Service Portal.

The facilities can be used on weekdays between 07:00 and 22:00 and weekends/ holidays.

The same portal is also used for fault reports and orders. For this you need an account. You have an account in Coors system if you already have been in contact with Coors conference center. If you do not know your password, you will need to reset it by clicking “Forgot your password?”. You will then receive an email with instructions on how to proceed. If you have trouble changing password, contact Coors IT support it.karolinska@coor.com

Fault reporting for IT equipment/video equipment and other equipment in the rooms

Depending on what type of equipment that is faulty, you contact different resources:

  • To report faults in IT- and video equipment, please contact SLL IT on 08-123 77 77.
  • To report faults in other technical equipment and furniture, please contact Coor Helpdesk on 08-123 780 90
  • For all types of faults, you can contact the Information desk at the main entrance between 07:00 and 22:00. However, first contact the Coor Helpdesk if possible.

Technical support for IT equipment in the facilities

The conference reception desk can help with questions about technical equipment and starting it up before meetings on weekdays 08:00-17:00. If you require mixing boards or other forms of support, you should order this specifically when making your booking.

Coffee and catering

There are 2 coffee machines and 2 vending machines that accept card payments on floor 3. Catering orders can be placed with Garant (for up to 100 people) and Sodexo (over 100 people). There are no trash bins in the rooms. As booker, you are responsible to get rid of all rubbish and leave the room clean. If trash bins are needed, you can book them at the same time as you book the room.

Policy for education facilities at Karolinska University Hospital

Bookings made for basic educational programs (clinical courses with VIL/VFU-related activities) within the regional ALF-agreement are free from charge. Clinical courses with VIL/VFU-related activities have a booking priority if requests for the autumn semester are submitted before 15/2. The deadline for the spring semester is 15/9.

If you need an auditorium for a specific date further ahead, for example a large international conference, contact Coors conference center. State the purpose and ask if it is possible to prioritise the booking.
